How to Export a Bibliography to Word or Google Docs
A bibliography is not finished when the strings are correct. APA 7, MLA 9, and Chicago 18 still need a 0.5-inch hanging indent in the word processor — first line flush left, later lines indented. This page is the hand-off: how to get a formatted list out of the CitationEasy generator and into Microsoft Word, Google Docs, Apple Pages, Zotero, or LaTeX without flattening italics or turning each entry into a numbered list. Quick Answer: How to Export a Bibliography to Word or Google Docs
Decide what the destination needs. A paper needs formatted text with one paragraph per entry and a hanging indent. A reference manager or Overleaf project needs structured data (RIS, BibTeX, or CSL-JSON). Do not paste a numbered or bulleted export into an APA, MLA, or Chicago paper — those styles do not number the end list. Use the separate Copy all button (not the Export menu) or the Rich Text (.rtf) download when the list must stay unnumbered.

Word, if the indent vanished after a paste:
Select the entries. Home → Paragraph dialog launcher → Indents and Spacing → Special → Hanging → By 0.5" → OK. Windows shortcut: Ctrl+T. Mac: Command+T, or Format → Paragraph.
Apple Pages, if you opened a paste instead of the RTF:
Select the entries. Format sidebar → Layout → Indents → raise Left until wrapped lines sit 0.5 in from the margin.
Zotero, Mendeley, or EndNote:
Export → RIS (.ris). In Zotero: File → Import… → A file.
Overleaf / LaTeX:
Export → BibTeX. Paste into references.bib.

The Official Hanging-Indent Rule
APA, MLA, and Chicago all want the same shape: first line flush left, later lines indented 0.5 in. Apply it with the word processor's paragraph settings. Do not hit Enter in the middle of an entry and then Tab the leftover words. That looks like a hanging indent on one screen and collapses as soon as someone edits the line.

Apply a hanging indent for all references using the paragraph-formatting function of your word processing program: The first line is flush left, and all subsequent lines are indented 0.5 in.

The MLA recommends using hanging indents for works-cited-list entries because they help readers see where an entry begins.
Word will most likely have the default spacing of the hanging indent set to 0.5 inches, which is the standard spacing that the MLA recommends.

Chicago 18th edition uses the same hanging list. Red Deer Polytechnic's CMOS 18 bibliography guide restates Manual §2.28: begin each bibliography entry on a new line and use a hanging indent. Place the list at the end of the paper (§13.66). The Chicago-Style Citation Quick Guide is the public edition check for Notes-Bibliography versus Author-Date — it does not change the indent. CMOS 18 also dropped the place of publication from book citations (§14.30); a Word template that still asks for “New York:” is out of date.

A Hanging indent, also known as a second line indent, sets off the first line of a paragraph by positioning it at the margin, and then indenting each subsequent line of the paragraph.
With a hanging indent, everything except the first line is indented.
A hanging indent is a formatting convention commonly used when citing sources, where the first line of text starts at the document margin and subsequent lines are indented.
Microsoft's wording and the Home → Paragraph Settings → Indents and Spacing path are from Create a hanging indent in Word (Word for Microsoft 365, 2024, 2021, 2019, and 2016). On Mac, the same page uses Format → Paragraph. Google's one-sentence definition and the Format → Align & indent path are on Add a numbered list, bulleted list, or checklist, under “Add a hanging indent.” Apple's definition and Format sidebar → Layout → Indents → Left path are on Set paragraph margins in Pages on Mac.

A pasted Word list is a picture of one style. RIS, BibTeX, and CSL-JSON are the source fields, so Zotero can restyle the same records tomorrow. Choose once, on purpose.

If any saved entry has a note, Export also offers Copy with annotations and an annotated Word file. Share links never include those notes — annotations stay local unless you pick an annotated export on purpose.
The font picker on the same menu (Times New Roman, Arial, Calibri) applies to Word, RTF, and Print. APA 7's student checklist accepts a legible default font, including 11- or 12-point Calibri, Arial, or Times New Roman. MLA and Chicago want a readable 12-point serif unless the instructor names a font.
Export to Microsoft Word
Two honest paths. The RTF file is the one that matches APA, MLA, and Chicago: hanging indent, no automatic numbers. The Word (.doc) file is convenient and already hung, but it prefixes 1. 2. 3. because the exporter numbers every row. Strip those numbers before you submit an unnumbered list.
Best path: Rich Text
- In the bibliography panel, open Export.
- Choose Rich Text (.rtf) — Docs, Pages.
- Open the file in Microsoft Word (double-click, or Word → Open).
- Confirm each entry hangs at 0.5 in. Select the list and check Home → Paragraph → Special → Hanging if anything looks flush.
- Copy the list onto a new page after the paper. Title that page with the heading your style actually uses.
Word document download
- Export → Word document.
- Open the .doc file. Word treats it as HTML-in-Word; hanging indents travel with the paragraphs.
- For APA, MLA, or Chicago, delete the leading numbers. For Vancouver, IEEE, or AMA, keep them if they match citation order.
- Paste into your paper or keep the file as a standalone reference page.
You already pasted and the indent is gone
Plain Copy all is unnumbered, but it is plain text: no hanging indent, and italics may drop depending on the browser clipboard. After the paste, select only the reference paragraphs — not the paper title — and apply a hanging indent with Word's paragraph settings, not with the space bar. APA's list guide is explicit: use the paragraph-formatting function of the word processor.
- Select every reference entry. Each entry must be one paragraph (no extra Enter in the middle of a title).
- Windows: Home tab → Paragraph dialog launcher (tiny arrow) → Indents and Spacing.
- Mac: Format → Paragraph, or highlight the list and press Command-Option-M (the MLA Style Center Mac path).
- Under Special, choose Hanging. Leave By at 0.5".
- Select OK.
- Optional shortcut: Ctrl+T (Windows) or Command+T (Mac) hangs the selected paragraphs to the first tab stop.
Those menu names are Microsoft's and MLA's. If your ribbon looks different, search Word's help for “hanging indent” rather than inventing a Format → Paragraph path from an older screenshot.
Export to Google Docs
Google Docs does not open a CitationEasy menu. It receives a file or a paste. The RTF download is labelled Docs, Pages because RTF keeps the hanging indent when Drive converts the file. A raw paste does not.
Best path: upload the RTF
- Export → Rich Text (.rtf) — Docs, Pages.
- Upload the file to Google Drive.
- Open with Google Docs. Check that later lines of each entry sit 0.5 in to the right.
- Copy the list into the working paper, or keep writing in the converted file.
Fast path: Copy all, then hang
- Click the Copy all button beside Export (not Numbered list, not Bulleted list).
- Paste at the end of the Google Doc. Press Enter once between entries if the paste collapsed them into one block.
- Highlight only the pasted entries.
- Format → Align & indent → Indentation options.
- Under Special indent, choose Hanging. Leave the size at 0.5 in unless the instructor named another measure.
- Click Apply.

A Word (.doc) upload also works: Drive converts it, and the hanging indent usually survives. You still have to delete the exporter's leading numbers for APA, MLA, and Chicago.
Why a numbered or bulleted paste fails
Docs hanging indent is a paragraph setting. A numbered or bulleted list is a list. Hanging the list indents the wrapped lines of each bullet, but you still have 1. or • in the margin — exactly what APA 7, MLA 9, and Chicago 18 do not want. Convert the paste to normal text (Format → Bullets & numbering → the none option, or undo the list) before you hang it. Vancouver, IEEE, and AMA keep the numbers; they do not use a hanging bibliography.
Export to Apple Pages
The RTF download is labelled Docs, Pages because Pages opens RTF with the 0.5-inch hanging indent already applied. If you pasted Copy all instead, hang the list with Pages' own indent controls — do not Tab the wrapped lines.
- Export → Rich Text (.rtf) — Docs, Pages, then open the file in Pages.
- If you pasted instead: select every reference paragraph.
- In the Format sidebar, click Layout.
- Open Indents and raise Left until wrapped lines sit 0.5 in from the margin. Leave the first-line indent at 0 so the first line stays flush.
- Copy the hung list onto a new page after the paper and change the heading to References, Works Cited, or Bibliography.

Do Not Rebuild the List in Docs Citations
Google Docs has its own Tools → Citations sidebar. That tool is a source manager, not an import slot for a finished CitationEasy list. If you already have formatted entries, paste them. If you start over in the sidebar, you are limited to three built-in styles — and two of them are a generation behind the handbooks this site uses.

The “Bibliography” heading, “edited by,” and other elements generated by the citations tool appear in English regardless of your language in Google Docs.
That list is from Add citations and a bibliography. MLA 9, Chicago 18, and Chicago Notes-Bibliography are not in the sidebar. Google's own Workspace Learning Center also warns that Insert bibliography dumps every source in the sidebar, cited or not — the opposite of APA References and MLA Works Cited. Use the built-in tool only when you are citing from scratch in one of those three editions and you will edit the output.
What a Correct Hanging Entry Looks Like
These are official handbook samples, not invented fillers. After export, the first line of each entry should sit on the left margin and every wrapped line should start 0.5 in in. Do not invent a fourth sample to “fill out” the page.

That line is from APA's Common Reference Examples Guide (last updated 3 March 2026). In the paper, italicize the journal title and volume: Journal of Educational Psychology, 117(5). The DOI has no closing period. A plain-text Copy all paste can drop those italics; restore them before you submit.

That book line is the Style Center's Citations by Format “Book by One Author” sample. Italicize Wolf Hall. A short title may not wrap; the hanging indent still has to be set, or the next long journal entry will sit flush.

Those two lines are from the Chicago-Style Citation Quick Guide. Italicize Interior Chinatown and American Journal of Sociology. CMOS 18 does not require a place of publication on the Yu book. Kwon is the longer wrap you will actually see hang.
Failure Modes That Break the Hand-Off
- Numbered APA/MLA/Chicago list. The Word .doc exporter and the Numbered list copy both add 1. 2. 3. Delete those prefixes, or use Copy all / RTF instead.
- Looking for Copy all inside Export. Copy all is the button beside the Export menu. Inside Export, the text copies are Numbered list and Bulleted list.
- Tabs and spaces instead of a hanging indent. One extra space after a wrap will not survive a reflow. Use Special → Hanging (Word), Special indent → Hanging (Docs), or Layout → Indents → Left (Pages).
- Enter in the middle of an entry. A mid-title line break becomes two paragraphs; only the second one hangs. Keep each source as one paragraph.
- Extra blank lines between APA entries. APA wants the list double-spaced with no bonus gap. MLA and Chicago also double-space the list on student papers.
- Italics lost on paste. Book and journal titles need italics back if the clipboard delivered plain text. Niepel's journal title and Mantel's Wolf Hall are the check.
- Wrong page title. APA and Chicago Author-Date: References (or Reference for one source). MLA: Works Cited (or Work Cited for one source). Chicago notes: Bibliography. Do not put Bibliography on an APA paper.
- Importing formatted text into Zotero. Paste is not a library. Use RIS, BibTeX, or CSL-JSON.
- Rebuilding in Docs Citations. That sidebar is MLA 8 / APA 7 / Chicago Author-Date 17, not an import of your existing list, and it inserts every sidebar source.
Export to Zotero, Mendeley, or EndNote
Use a structured file when you want the records back as fields. Zotero's import documentation lists RIS, BibTeX, BibLaTeX, and CSL JSON among the formats File → Import accepts.

Zotero can import bibliographic data stored in a variety of standardized formats used by databases and other reference management tools. The most popular formats are RIS, Bib(La)Tex, and MODS.
If you have a database stored in one of these formats, such as a BibTeX database you’ve compiled or a RIS database you’ve exported from another reference manager, you can import them into Zotero by clicking File → “Import…” and choosing “A file”.
- In CitationEasy, Export → RIS (.ris) — Zotero, Mendeley (or copy BibTeX, or download CSL-JSON).
- Zotero: File → Import… → A file and select the .ris (or .json). The records arrive as editable items, not as a frozen paragraph. CSL JSON is its own row on Zotero's import-format list.
- Mendeley Reference Manager: + Add references (or Add new) → Import library / Import file(s), then choose RIS or BibTeX. UCL's Mendeley guide warns not to double-click the .ris — that often opens EndNote or Zotero instead of importing.
- EndNote: File → Import, set the import option to the RIS filter, and select the file. If the filter list hides it, choose the RefMan (RIS) filter.

Overleaf, Pandoc, and Quarto
Copy BibTeX and paste it into a .bib file on Overleaf. That is the LaTeX-world interchange format; it is not a formatted bibliography. For Pandoc or Quarto, download CSL-JSON and point citeproc at the file (pandoc --citeproc --bibliography=refs.json). Zotero also imports CSL JSON, so the same file can feed a manager later.
Annotations, Share Links, and Print
Notes you attach to a saved citation are private by default. They appear in Copy with annotations and the annotated Word download only when at least one note exists and you pick those commands. A Copy share link URL carries the formatted entries, not the notes. Print uses the same hanging-indent Word layout as the .doc download, including the automatic numbers — remove the numbers on the printout if the style is unnumbered. Generate or restyle the entries first. Then export the file that matches the destination: RTF or Copy all for Word, Google Docs, and Pages; RIS for a reference manager; BibTeX for Overleaf.

- Should I use Google Docs Tools → Citations instead?
- Not to import a finished CitationEasy list. That sidebar only builds MLA 8th edition, APA 7th edition, and Chicago Author-Date 17th edition, Insert bibliography includes every source in the sidebar, and the generated labels stay in English. Paste or upload your formatted list, or start over in the sidebar only if those three editions are what the assignment named.
- Do Vancouver or IEEE lists use a hanging indent?
- No. Numbered citation-order styles keep 1. 2. 3. and usually a flush or numbered-list layout. Use the Numbered list copy or keep the numbers on the Word download. APA, MLA, and Chicago are the hanging, unnumbered family.
- Are my annotation notes in the share link?
- No. Share links omit notes. Notes appear only when you choose Copy with annotations or the annotated Word download. That is intentional: a review link should not publish private reading notes.
- Is there a CSV export?
- Not in the bibliography Export menu. Use RIS or CSL-JSON for structured data, or Copy all for plain text. If you need a spreadsheet, export RIS and open it in a manager or a converter — do not expect a .csv button on this panel.
- What heading goes above the pasted list?
