How to Cite Education Sources in APA 7

Education papers fail citation checks when a student formats a journal article correctly, then treats an ERIC ED document, the Report on the Condition of Education 2026, a What Works Clearinghouse practice guide, a CAEP workbook, or an unpublished classroom observation as if they were the same object. This guide follows the Publication Manual of the American Psychological Association (7th ed., 2020), the APA Style Common Reference Examples Guide (3 March 2026), the Creating an APA Style Reference List Guide (23 February 2022), and the Review of Educational Research submission guidelines: name the file a later reader can open, then apply that Chapter 10 or §8.9 template.

How to Cite Education Sources in APA 7: Quick Answer

APA 7 for education is author-date in the sentence and a hanging-indent reference list. The hard step is naming the work. An EJ record in ERIC is a journal article (§10.1). An ED record that exists only in ERIC is a limited-circulation document and needs the ED number plus ERIC as the source. The 2026 Condition of Education PDF is a group-author report (§10.4). A lesson you watched but did not record is a personal communication (§8.9) and never enters the reference list.

The Creating an APA Style Reference List Guide (23 February 2022) states the sorting rule that ERIC, Education Source, and JSTOR constantly tempt students to skip:

Reference formats are based on the document type (e.g., journal article, report), not the retrieval method (e.g., online, in print).
Even if you retrieved a work online, determine what type of document it is. Only cite a work as a webpage or website if no other category fits.

Why Education Uses APA 7

The American Educational Research Association does not publish a separate citation manual for its journals. The live Review of Educational Research submission guidelines (opened for this rewrite) say so in one sentence that also covers American Educational Research Journal, Educational Researcher, and the rest of the AERA list:

The style guide for the Review of Educational Research and all AERA journals is the Publication Manual of the American Psychological Association, 7th ed., 2020.

RER also sends systematic reviews and meta-analyses to the PRISMA Statement and to APA reporting standards. That is a methods rule, not a second citation system. U.S. colleges of education, teacher-education methods courses, and most education theses still ask for APA rather than MLA or Chicago because author-date puts the year next to the claim — which matters when you are comparing a 1978 translation of Vygotsky with a 2025 Journal of Educational Psychology study. If your program named Chicago Author-Date for a history-of-education seminar, or a journal’s house style, follow that syllabus. Do not mix numbered footnotes with APA parentheticals in one paper.

This page is the education source-type workflow. It is not a second copy of How to Cite Journal Articles in APA, How to Cite Books in APA, or How to Cite a Government Report in APA. Use those when the object is already obvious. Use this page when the object is an ERIC ED document, a Condition of Education volume whose title page changed authors, a WWC practice guide, a CAEP workbook, a ProQuest dissertation, a test manual, or a classroom event that no reader can recover.

Journal Articles in Education

Section 10.1 is the default for Review of Educational Research, American Educational Research Journal, Journal of Educational Psychology, and practitioner magazines such as Educational Leadership. Sentence-case the article title. Italicize the journal name and volume. Put the issue in parentheses, unitalicized, immediately after the volume. End with a DOI in https://doi.org/ form when the record has one. Finding the PDF in ERIC, Education Source, or JSTOR does not add those database names to the reference. APA’s database-information page, as reprinted by Alamo Colleges, is explicit:

Do not include database information for works obtained from most academic research databases or platforms because works in these resources are widely available.

APA’s current journal-article example on the Common Reference Examples Guide (3 March 2026) is an education study. Keep the italics, en dashes, and DOI exactly as published:

Carol S. Dweck’s practitioner piece “The Perils and Promises of Praise” is Educational Leadership volume 65, issue 2 (October 2007), pages 34–39 (ERIC EJ777079). Because it is a magazine article of wide circulation, cite the journal — not ERIC:

Three or more authors take et al. from the first in-text citation; the reference list still names up to 20 authors. Page numbers belong in the in-text citation when you quote. Details live in How to Cite Multiple Authors and How to Use DOIs.

Books, Chapters, and Foundational Theorists

Section 10.2 italicizes the book title in sentence case and names the publisher. Drop the city. Include an edition statement when the title page has one. Include a DOI when the ebook record has one. Two books education papers actually quote:

Cite the copy you held. If you read a 2018 Bloomsbury reprint of Freire, that year and publisher replace Continuum 2000. If you only read a textbook’s two-paragraph summary of Pedagogy of the Oppressed, you have not cited Freire; you have cited the textbook, or you need a secondary citation that names both. The same trap appears with Dewey’s Democracy and Education (1916) and Experience and Education (1938): two years, two books, two reference-list entries — (Dewey, 1916, 1938) when you discuss both. ERIC Documents Versus ERIC Journal Hits

ERIC (Education Resources Information Center) stores two different objects under one search box. An EJ accession number is a journal or magazine article that also lives in the periodical. Cite it as the article. An ED accession number is often a report, digest, or curriculum guide of limited circulation. APA’s database-information page tells you when to name ERIC:

Provide the name of the database or archive for works of limited circulation, such as dissertations and theses, manuscripts posted in a preprint archive, and monographs in ERIC.

Put the ED number in parentheses after the title, write ERIC in the source element (roman, not italics), and link the stable PDF when ERIC hosts the file. APA’s own ERIC example is a 2008 undergraduate public-health curriculum guide, ED504790:

If the ERIC record has no full text, use the public ERIC record URL rather than a session-specific library proxy. Do not paste the citation ERIC or ProQuest auto-generates; those strings routinely treat an ED document as a journal article or omit the ED number.

ERIC is also no longer a complete map of every education journal. The Institute of Education Sciences explained the pause policy on 1 March 2023: journals that persistently publish more than twice the article volume from the year they were accepted can be removed from the active ERIC Journal List for two years. Existing records stay. A missing 2025 issue is not proof the article is grey literature — it may simply be outside the current index. NCES Reports: Named Authors Versus Group Author

Section 10.4 covers reports. APA’s government-report page, as reprinted by Alamo Colleges, is explicit about layered agencies:

The specific agency responsible for the report appears as the author. The names of parent agencies not present in the group author name appear in the source element as the publisher.

When the author and the publisher of a work are the same (as in many reports, books, and websites published by group authors), include the group name in the author element and omit it from the source element.

Open the PDF cover before you copy last year’s author line. The 2023 and 2024 Condition of Education volumes listed Véronique Irwin and colleagues on the title page, so those years are named-author reports with NCES as publisher — the form used in How to Cite a Government Report in APA. The Report on the Condition of Education 2026 (NCES 2026-144, May 2026) does not. The title page and NCES’s own suggested citation name the National Center for Education Statistics as author. APA 7 drops the city NCES still prints, drops the “Retrieved [date]” line on a dated PDF, and puts the parent agencies — not a repeated NCES — in the publisher slot:

Narrative:

The National Center for Education Statistics (NCES, 2026) summarized indicators from prekindergarten through postsecondary education.

The 2025 summary volume (NCES 2026-019, April 2026) uses the same group-author cover. Do not paste Irwin et al. onto either 2025 or 2026. Spell out a group author in the reference list. Abbreviate in text only after the first mention, and only when the abbreviation will actually help the reader.

What Works Clearinghouse Practice Guides

A What Works Clearinghouse practice guide is a report, not a journal article and not a webpage. Use the suggested-citation names on the PDF, the WWC publication number, and the National Center for Education Evaluation and Regional Assistance as publisher. The December 2024 guide Teacher-Delivered Behavioral Interventions in Grades K–5 (WWC 2025001) lists fifteen panelists. APA 7 still prints all of them in the reference (the 20-author cutoff is not in play) and et al. in the text:

WWC house style still prints “Washington, DC” and “Retrieved from https://whatworks.ed.gov/.” APA 7 drops the city and prefers the URL that opens the same PDF. Do not cite only the landing page if you used the 5.7 MB guide.

Standards and Curriculum Frameworks

Cite the standards document you opened, not a worksheet that reprints one code. The Common Core State Standards public license names the owners and the 2010 copyright: the National Governors Association Center for Best Practices and the Council of Chief State School Officers. Two group authors take an ampersand. Because those groups are also the publisher, omit a repeated publisher name and give the URL of the file or page you used:

If you discussed only the mathematics standards, change the title to the mathematics document you opened. State standards replace the NGA/CCSSO authors with the state education agency on that PDF’s title page. Do not back-date a 2014 Principles to Actions NCTM book as if it were the 2000 Principles and Standards for School Mathematics.

Educator-preparation papers have a second standards object. The CAEP Revised 2022 Standards Workbook implements the 2022 initial-licensure standards, but the PDF itself is dated 11 June 2021. Cite that file’s date, not “2022” invented from the title:

Dissertations and Theses

Section 10.6 treats a dissertation as a book-length work with a bracketed description. If you read it in ProQuest or another commercial database, add the publication number the record displays and the database name. APA’s official database example on the 3 March 2026 handout is an NYU education-adjacent dissertation:

An institutional-repository PDF uses the university name in the brackets and a handle or URL instead of ProQuest. A paper copy you read in the awarding library omits the database. Full variants are in How to Cite Dissertations and Theses in APA. If the dissertation later became a book, cite the book you used — not both — unless you are discussing the unpublished argument as unpublished.

Tests, Scales, and Unpublished Classroom Work

A named assessment is a reference-list object when you used the manual or the article that published the measure (APA 7 §10.11). The Wechsler Intelligence Scale for Children, Fifth Edition, is a real 2014 Pearson manual:

Citing the instrument name alone is not a citation. Do not put photocopied test items in an appendix unless the publisher’s license allows it.

Unpublished lesson plans, field notes, and mentor conversations are a different problem: recoverability. APA’s personal-communications rule (Publication Manual §8.9), as reprinted by Alamo Colleges, includes “unrecorded classroom lectures” among works readers cannot retrieve:

Personal communications include emails, text messages, online chats or direct messages, personal interviews, telephone conversations, live speeches, unrecorded classroom lectures, memos, letters, messages from nonarchived discussion groups or online bulletin boards, and so on.
Because readers cannot retrieve the information in personal communications, personal communications are not included in the reference list; they are cited in the text only.

APA’s official in-text forms use initials, a surname, and an exact date. Use them for a cooperating teacher, a principal interview, or notes from a lesson you observed and did not archive:

If the lesson plan is in a recoverable repository, cite that file as an unpublished manuscript or a webpage — not as a personal communication. Participant quotations from your own study follow §8.36, not §8.9. More cases are in How to Cite Personal Communications.

Conference Papers, OER, and Education Websites

AERA, ASCD, and NCTE presentations use §10.5: author, full date range of the meeting, italic title, bracketed description, conference name, city, state or country, and a URL if the slides or paper are posted. APA’s official conference example on the 3 March 2026 handout is the template to copy:

Published proceedings that have a DOI are cited as a book chapter or as a journal article, not as a session. Do not invent a paper title or a date range you cannot see on the program. Conference variants are in How to Cite a Conference Paper in APA.

Open educational resources and organization websites are §10.16 only when no tighter category fits. APA’s official OER example on the same handout is a nursing clinical-brain worksheet on OER Commons — the retrieval date is there because the page is designed to change:

Khan Academy’s algebra course is a webpage, not a book. APA 7 does not want a retrieval date on a stable, archived page. The Creating-list handout is the current rule:

Most references do not require retrieval dates. Include a retrieval date only when (a) a work is inherently designed to change over time (e.g., a Facebook profile page) and (b) you are citing an unarchived version of the work, as described in Section 9.16 of the Publication Manual.

That reverses the old habit of dating every URL. A dated NCES PDF, a journal article with a DOI, and the 2010 Common Core file already have publication years. Add “Retrieved Month Day, Year, from” only when the page is designed to change and is not archived — live dashboards, not NCES 2026-144.

Mistakes Education Papers Repeat

  • Citing ERIC for an EJ article. The periodical is the source. ERIC is the search box.
  • Dropping the ED number on a limited-circulation ERIC document, or treating that document as a journal article.
  • Treating ERIC as a complete 2026 index. Existing records remain, but paused journals drop off the active list. A missing issue is not automatically grey literature.
  • Copying Irwin et al. onto Condition of Education 2025 or 2026. Those covers are group-author NCES reports (NCES 2026-019 and NCES 2026-144).
  • Citing the Condition of Education homepage instead of the annual report PDF and its NCES number.
  • Citing whatworks.ed.gov instead of the WWC practice-guide PDF and its WWC number.
  • Using a textbook as Dewey, Vygotsky, or Freire. Name the work you read.
  • Putting field notes in the reference list. If no reader can recover them, they are personal communications.
  • Inventing a retrieval date on a document that has a publication year and a stable URL.
  • Omitting page numbers on quotations. APA 7 still wants a page number or other locator for quoted words.
  • Writing out first names in the reference list. Initials only: Dewey, J., not Dewey, John.
  • Repeating a group author as publisher when the same agency occupies both slots.
  • Back-dating standards and handbooks (NCTM 2000 versus 2014; Common Core 2010, not “2023”; CAEP workbook 2021, not an invented 2022).

Where to Look Things Up

Generate the APA 7 strings after you have named the object

The APA style page and the journal-article generator will format author-date citations. They cannot tell an ERIC ED document from a journal PDF, or NCES 2026-144 from Irwin et al. 2024, until you can.

Education APA citation questions

Does education use APA or Chicago?
U.S. colleges of education and AERA journals use APA 7th edition (2020). The live Review of Educational Research guidelines repeat that sentence for every AERA journal. History-of-education seminars sometimes ask for Chicago. Follow the syllabus or the journal’s current guide; do not mix systems in one paper.
How do I cite an ERIC document in APA 7?
If the record is an EJ journal article, cite the article and skip ERIC. If it is an ED document of limited circulation, add the ED number after the title, name ERIC as the source, and link the public PDF. APA’s example is Riegelman and Albertine (2008), ED504790.
How do I cite the Condition of Education 2026?
Cite the annual report PDF you used. For 2026 that is National Center for Education Statistics, Report on the condition of education 2026 (NCES 2026-144), U.S. Department of Education, Institute of Education Sciences. Do not copy the 2024 Irwin et al. author list onto this cover, and do not cite only the indicator homepage unless that webpage is the only object you opened.
How do I cite a What Works Clearinghouse practice guide?
Use the named panelists on the PDF, the italic report title in sentence case, the WWC number in parentheses, and NCEE as the publisher. Lane et al. (2024), Teacher-delivered behavioral interventions in grades K–5 (WWC 2025001), is the current K–5 behavior guide. Do not cite only whatworks.ed.gov.
Do I put classroom observations in the reference list?
No, if a reader cannot recover them. APA 7 §8.9 cites unrecorded lectures, interviews, and field notes in the text only, with initials, surname, and a date. Archive the notes in a repository if you need a recoverable source. Quotations from your own study participants follow §8.36, not §8.9.
How do I cite Common Core or CAEP standards in APA?
Cite the file you opened. Common Core uses the two 2010 group authors — National Governors Association Center for Best Practices and the Council of Chief State School Officers — plus that document’s title and https URL. The CAEP revised 2022 standards workbook is dated 11 June 2021 on the PDF; use 2021, not an invented 2022.
Should I cite Dewey from my textbook?
Cite Dewey when you opened Dewey. If you only have the textbook’s summary, cite the textbook for that author’s claim or use a secondary citation. The same rule applies to Piaget, Vygotsky, and Freire.
Do APA education papers need retrieval dates?
Not on a dated report, a journal article, or a stable standards page. APA 7 adds a retrieval date only when the source is designed to change and is not archived. A 2026 NCES PDF already has a publication year. APA’s official OER Commons example is the case that does keep a retrieval date.
How do I cite a dissertation I found in ProQuest?
Use APA 7 §10.6: italic title, publication number, bracketed Doctoral dissertation or Master’s thesis plus the university, then ProQuest Dissertations and Theses Global. APA’s official example is Horvath-Plyman (2018), Publication No. 10937367, New York University.
Is a missing ERIC record a reason to skip the article?
No. IES can pause indexing of a journal for two years when its output more than doubles. Existing ERIC records remain. Cite the journal article from the periodical (authors, volume, issue, pages, DOI). Use the June 2025 ERIC Journal List only to see what is currently cataloged, not as a quality veto.
